In certain cases, sending an email resignation note is the best way to quit your employment. If at all possible, it is best to quit your work by notifying your manager in person. However, it is not always possible.

For example, if you work in a remote location or your supervisor is located in another city or country, you may be unable to quit in person. In this case, you may choose to notify your employer by email that you are leaving your position. If giving notice in person is not possible, this is perfectly acceptable.

What to Include in a Resignation Email?

If you must quit through email, make sure your email message is respectful and professional, and that it includes all important facts about your resignation.

You may leave your employment on a high note this way. After all, you never know when you’ll need a referral from previous employment. If your resignation was meaningful and professional, your manager is more likely to help you.

Examine some tips for composing a professional email resigning from a job, as well as examples of email messages to utilize when quitting your work.

Resignation Email Message Writing Tips

So, unless you work remotely, an in-person meeting is typically the best method to resign a job when possible. If you must quit through email, here are some recommendations for doing so effectively and leaving yourself in good favor:

Use a unique email subject line.

  • Use a straightforward email subject line like “Resignation – Your Name.” In this manner, your company will understand your message right away. You want them to open and read the email right away.

  • Express your gratitude.

If you were unhappy with the service, however, do not criticize or mention anything negative in your email. You want to keep a solid connection with your boss because you never know when your paths will cross again.

    Provide support.

    • If you are able, offer to help the business with the changeover. For example, you may offer to teach a new employee during your final days on the job and/or be there to answer questions for a week or two after you leave.”

    Enter the date you want to leave.

    • Include the date you plan to quit the job in the email. This will provide your company with a clear picture of your career.

    Don’t get into specifics.

    • You are not required to explain why you are leaving or what you plan to do next. You are welcome to provide a brief explanation. For example, you may state you’re leaving owing to family responsibilities, a shift in your job, or to go to graduate school. If you’re simply leaving for another work, you generally don’t want to bring it up. Whatever you do, keep your explanation brief and positive.

    Ask questions.

    • This is also a time to ask about payment or perks, such as where or when your last paycheck will be delivered. You should send the email to your company as well as the human resources department. These queries will be answered by human resources.

    Give your contact details.

    • Include any non-company email addresses or other contact information you want to give so that your employer may contact you. This is especially vital if you’re going soon.

    Before you send the email, proofread it.

    • Of course, you want to spot any grammar and spelling errors, so review your email before sending it. Check that your tone is neutral or nice, and that you haven’t said anything that might cause you an issue later. You might also have a friend or family member read it through to double-check your tone (and to check for any remaining errors).

    The first paragraph

    Start your email by clearly stating that you are resigning and specify the effective date of your resignation. You might also explain briefly why you are retiring.
